The folder called final_v3

A customer asks why the price went up. The answer is in an email from fourteen months ago, about a drawing revision, in a folder nobody can identify — and the person who knew has left.

A customer asks why the price went up.

It is a fair question and somebody has to answer it. The answer exists: there was an email about it, fourteen months ago, and it referred to a revision of a drawing. The drawing is in a folder. The folder is called final_v3.

The person who knew which one was actually final has left the company.

So three people spend a morning on it. One goes through the mail archive, one goes through the drive, and the third calls the customer back to buy time. By the afternoon they have something that is probably right, and nobody is certain.

Search was never the problem

It is tempting to call this a search problem, and to fix it by buying better search. It is not.

The company's memory is split down the middle. The mail system knows what was promised, to whom, and when. The file system knows what the document actually says. Neither of them has ever been introduced to the other. Ask the mail system about a drawing revision and it knows nothing. Ask the drive who agreed to it, and it knows nothing.

Every real question a business asks itself crosses that line. Why did the price change. What did we commit to. Which version applies. You cannot answer any of them from one side of it.

The answer was never missing. It was split across two systems that have never spoken to each other.

How Workspace works, roughly

Varahi Workspace is your mail and your files, on your own storage, with the model reading them where they already sit. Nothing is copied out to be processed somewhere else.

Because both live in one index, a question can be asked in plain words and answered across the two. You do not get a list of search results to work through. You get the thread, the attachment, and the revision that actually applies to the customer you asked about.

Why it has to be yours

Your mail archive is the most sensitive thing the company owns. Pricing, disputes, salaries, the things people said to each other when a deal was going badly. It is also exactly what an assistant has to read to be any use at all.

Those two facts are only compatible if the model runs on your side of the wall. That is the whole reason Workspace is built the way it is.

And the answer still goes to a person. Workspace finds the thread and the revision; somebody who knows the customer decides what to say about the price. That part we are not trying to automate.

Varahi Workspace · drag to turn
Workspace drawn as one store rather than two. Mail on one side, files on the other, and a single index underneath both — which is the only reason a question can be answered across them. The orange element is the person who decides what to tell the customer.

Varahi Workspace is one of three modules in VarahiOne, alongside Happen for CRM and outreach and VarahiConverse for projects and people. All three are views onto one core, on one machine you own.
